Q1. Quality System Requirements: The supplier must maintain an inspection system that assures all products or services provided under this purchase order complies with the drawing and/or specification requirements. Measurement and test equipment used in the supplier’s inspection system shall have current calibrations traceable to NIST.
A. ISO 9001 certified
B. AS9100 certified
C. Nadcap approved
D. Other (as explained on face of purchase order)
Q2. Notification: The supplier shall notify HPG&M of changes in product and/or process, changes of sub-tier suppliers, changes of manufacturing facility location and, where required, obtain HPG&M approval. The supplier shall notify HPG&M if they are not approved to provide the requested product, process, or service.
Q3. Deviations: Detected deviations and/or departures from the purchase order requirements must be reported to the HPG&M representative for consideration. Non-conforming product cannot be shipped without approval from HPG&M’s Quality Dept.
Q4. Certificate of Conformance: Each shipment shall be accompanied by one copy (minimum) of a certificate of conformance certifying that all requirements of the purchase order, drawing and/or specifications are at the latest revision level and have been complied with. The C of C must contain:
HPG&M’s purchase order number
Description, quantity, and part number (if applicable)
Specification (if applicable) and Revision
Signature and title of suppliers authorized quality representative
All applicable process requirements and work instructions
Q5. Material Test Reports (Chemical and Physical): A test report must accompany all shipments made against this purchase order. The report shall meet all the requirements of Quality Clause 4 and indicate the actual chemical composition and physical properties of the raw material. The report shall specifically identify:
Material Mill source
Material specification and revision (most current revision is required)
Melt, heat, batch, lot or other similar designations of the material
All outside processing certs that apply (i.e. testing, heat treating, etc)
Q6. Mill Cert Requirements: Original certification from the mill source must be provided by the material distributor. The certification must meet all the requirements stated in Quality Clause 4 & 5. In addition raw materials shall be domestic or DFARS 252.225-7014 compliant.
Q7. First Article Inspection: The supplier must submit a first article report with the first lot of items furnished under this purchase order. The report must identify all characteristics of the item inspected and recorded variable data obtained from this inspection.
A. First article must be performed at the suppliers facility.
Q8. HPG&M Furnished Material: The supplier must certify that all product/services supplied under this purchase order were fabricated only from material furnished by HPG&M.
Q9. Packing: Material and parts intended for shipment to HPG&M must be packaged to prevent damage that might occur during transit.
Q10. Other Requirements: Instructions as noted in the narrative within the body text of this purchase order. May include Customer Requirements, Special requirements, test specimens, critical items, or key characteristics.
Q11. Personnel Qualifications – Personnel is required to be properly trained in product or service conformity, product safety, good business practice as well as ethical behavior. Supplier training records must be available upon request. If NDT is applicable, NDT personnel shall be certified IAW NAS410
Q12 Calibration system: Must be compliant to one of the following standards ISO/IEC 17025, ISO10012-1, AS9100, ANZI Z540.1/.3 (MIL-STD-45662)
Q13 Nonconforming Product – HPG&M reserves the right to control Supplier processes to ensure conformity of product. Supplier shall notify the organization immediately upon discovery of any nonconforming product for appropriate disposition. HPG&M shall monitor Supplier performance to ensure quality of product to include corrective action requests as necessary.
Q14 Prevent the use of Counterfeit Parts: The supplier shall implement appropriate controls for counterfeit parts prevention to assure product origin and conformance to HPG&M requirements and related drawings
Q15 Record Retention – All quality records shall be maintained for a minimum of: A. 5 Years B. 7 Years C. 10 Years. After Record retention period has elapsed, HPG&M reserves the right to request proof of appropriate record disposition.
Q16 Right of Entry – Acceptance of this purchase order authorizes the Right of Entry by the organization, its customers and regulatory agencies to verify the quality of contracted work and its documentation. As well as the right to perform source inspection.
